Goal
Sort serious buyers from people just looking
Vasiyam Homes builds premium homes in Chennai. They needed every enquiry answered quickly, and the buyers who were ready to visit a site passed to sales before they went elsewhere.
Challenges
Too many enquiries, and they all look the same
Enquiries reach them from property portals, ads, WhatsApp and people walking into the site office. Most come from people who are just looking around. A handful come from people who want to see a flat this week. The trouble is, in the inbox they all look the same.
So the sales team spent most of the day answering the same questions: price, location, possession date. Meanwhile the buyers who were actually ready sat waiting for a call back, and some of them didn't wait.
Solution
A website, a CRM and a chat advisor
We built three things. A new website where buyers can look through the projects and book a site visit. A CRM, so every enquiry sits in one place with its full history. And a chat advisor on the website that talks to buyers before anyone from sales has to.
The advisor
How it talks to buyers
The advisor doesn't open with a form. It picks up what the buyer has already mentioned, like budget, area and when they want to move, and only asks about what's still missing. Before passing anyone on, it checks it has understood. Something like, “So you're after a 3BHK you can move into by March. Shall I ask the team to call you?”
Different buyers, different conversations
People buy homes for very different reasons. Some want a place to live, some want an investment. Some are NRIs buying from abroad, some are buying for a parent, and some want a house built to their own plan. Each of those needs a different conversation, and the advisor adjusts. It also keeps track of how ready each person seems. If someone asks something only a person should answer, it hands them over straight away.
Handing over to sales
When a buyer is ready, the sales team gets a WhatsApp message with the whole chat. Whoever calls back already knows what the buyer wants and doesn't have to start from zero.
Testing
Fifteen made-up buyers, every time
Before it went live, we tested it against 15 made-up buyers, from a careful NRI to an investor comparing returns across projects. Every conversation was checked and scored. We still re-run all 15 each time we change something, so a fix in one place doesn't break another.
Conclusion
Where it is now
Today, enquiries get answered at any hour, and the sales team spends its time on people who are ready to talk. We're tracking the numbers with Vasiyam and will add them here once there's enough to show.
